Who We Want

The Junior Management Assistant must be able to:

  • Assist in the preparation and management of various contracts, agreements, & permits, including but not limited to MOUs, Right of Entry Agreements, Lease Agreements, License Agreements, and Facilities Use Permits by working SFUSD Departments, governmental agencies, outside organizations and the public.
  • Coordinate and work with site administrators/principals, Custodial Dept., Legal Department, Risk Management Office, Student Nutrition Services, Office of Outreach and Communications and various other District departments regarding the use of District Facilities.
  • Assist in the management of various facility improvement projects through coordinating with SFUSD departments, outside organizations and the pubic.
  • Assist in the development and improvement of office procedures to manage agreements, contracts, developer fees, facilities use permits, License Agreements, invoices, insurance, and collection of revenues.
  • Maintain and update the office’s website and databases Memorandum of Understanding (MOU’s), permits, developer fees, lease agreements, and other agreements.
  • Process various  agreements including but not limited to Facilities Use Permits, Developer Fee Permits, MOUs, lease agreements, and other agreements, and manage invoices and payments.
  • Coordinates and communicates in person, by telephone or in writing to the general public, District’s departments, and other public agencies regarding use of District facilities, and the policies and procedures relating to contracts, lease agreements, MOU’s, developer fees,  permits, license agreements and other agreements.
  • Reviews developer fee permit applications, permit applications, licenses agreements, insurance  and various documents to assure that they are complete and conform to District requirements.
  • Reviews DBI plans & drawings relating to Developer Fee Permit applications to ensure that the correct square footage is being calculated for developer fee charges.
  • Coordinates permit information among permitees, District departments, City Departments, and others as required to ensure proper administration of permits and developer fees and other agreements and contracts.
  • Process requisitions for permits, developer fees, office expenses, and other services.
  • Verifies and process over-time reports and timesheets for staff who worked for events under permits or other agreements.
  • Perform various property management duties including but not limited to, handling tenant’s repair, maintenance, alteration, & improvement requests, working with general public about various property management issues and coordinating with the appropriate contacts to resolve the issue.
  • Perform site visits and attend and represent the District at various meetings.
  • Work with consultants to manage and update our online permit and accounting systems, and various projects as needed.
  • Supervise subordinate clerical staff in relation to office management and coordinates clerical & technical support activities 
  • Other related duties as required by the Real Estate Office.

Minimum Qualifications

Possession of a baccalaureate degree from an accredited college or university with major coursework in public or business administration, accounting, finance, economics, social sciences, education, or related field, or other areas closely related to specific department program or function.

Substitution: May substitute up to two (2) years of the required education with additional qualifying experience in program/office/operations management, budget development and/or administration, or contract/grant administration. One year (2000 hours) of additional qualifying experience will be considered equivalent to 30 semester units/45 quarter units.

*This position requires site visits throughout the San Francisco Unified School District, including over 130 school sites and support facilities. A valid California Driver's License is required. 

Desired Qualifications

The ideal candidate will have the following knowledge, skills, and abilities:

Skills:

  • Bilingual skills: proficient in Chinese either Cantonese or Mandarin
  • Ability to handle multiple tasks simultaneously
  • Ability to respond and resolve difficult day-to-day problems and/or complaints by the customers and/or general public
  • Excellent computer skills including Adobe, Google Office Apps (Doc, Sheets, Calendar, Drive, Meet, etc), QuickBooks, DocHub
  • Excellent note taking skills
  • Excellent organizational and interpersonal skills
  • Attention to details 
  • Excellent customer service skills
  • Self starter and ability to work independently and as a team 

Experience:

  • At least two years of experience working and successfully completing team and and/or individual projects.
  • At least two years of experiences in customer service interpreting complicated information and interacting with the general public
  • At least two year of experience editing and independently composing letters and other correspondence utilizing word processing systems
  • At least two years of experience in researching, compiling and organizing data for various reports and maintaining office/record systems.

SFUSD offers a competitive hourly rate range of $ 30.91 to $ 37.43, commensurate with experience in a similar position.
